Methodology
The four forces. Every patient exit in TRACE classifies into one of:
- OE — Operational Exit: lost due to clinic operational gaps (missed callbacks, scheduling friction, slow follow-up).
- FR — Financial Restraint: lost due to affordability or financing barriers.
- PS — Psychosocial Stress: lost due to fear, family pressure, or decision paralysis.
- CE — Clinical Exclusion: lost due to medical contraindications. Unavoidable; not a target for recovery.
The six stage transitions. Every patient pathway breaks into six measurable stages:
- Lead → Booking
- Booking → Consultation
- Consultation → IVF Recommendation
- IVF Recommendation → Financial Counselling
- Financial Counselling → Cycle Start

Common questions
What is TRACE? A boardroom diagnostic that reads your clinic's pipeline export and quantifies, by stage and by cause, how many patients you are losing and how much of that loss is recoverable.
How is TRACE different from a CRM dashboard? A CRM dashboard tells you that conversion fell. TRACE tells you which of the four forces caused which percentage of the fall, which transitions were the worst leaks, and how much of the lost revenue is recoverable through which kind of intervention.
Does TRACE replace our CRM? No. TRACE reads from your existing CRM or EMR. It is a diagnostic and reporting layer, not a system of record.
What is the difference between TRACE and ACT? TRACE diagnoses; ACT executes. TRACE produces the report that quantifies losses and identifies their causes; ACT turns those findings into specific operational actions.
